MINUTES OF MEETING HELD ON 8 SEPTEMBER 2008

 

Present: K Reed/P Ross (EVH); R Warne (PH); S Rose (PRR); J Crockford (PC); C Carpenter (PAC); A Erith, P Parritt (ECH), L Chatfield (ADSP).

 

Apologies: D Dane, R Quew, C Bunting, B Phillips,   

 

Steve Rose agreed to chair the meeting.

 

Minutes of previous meeting agreed with amendment to P Parritt attendance at meeting and not P Parsons.

 

Actions from previous meeting:

Obtain Domain Name and update web site – Action still outstanding AH

RR Officials Application Forms been chased but nothing received yet by applicants – D & R Hatch advised to send new application forms via EA SW Office. Others outstanding adsvised to do same.

IS confirmed at meeting  Matt Walsh’s coaching record. Support cheque to be forwarded to IS – Complete but no IS attendance at meeting.

 

Brickfields:

Nothing changed since last report. Steeplechase pit is still leaking, Hammer Cage out of action. Announcers hut is still in a bad way - PCC aware. PAC investigating alternative replacements with possible use of portacabins. Initial Consultation report of Sporting Facilities in Plymouth awaited. Facilities is agenda item at PSF AGM 16/9 – D Hatch attending. Use Beijing and 2012 as leverage for action to sort Brickfields. New Manager now in position – Louisa Duggan 

 

Web site: Still awaiting update from AH

Actions: Low maintenance info to be sent to AH – ALL

 

Finance: £7254.20 in bank. £1.23 Cash

 

Clock:

Old clock with SR. New with PR – Old clock required at Autumn Trail – Action SR

 

Sportshall League: Information/Registration Forms now distributed. Still no co-ordinator come forward.

 

Composite team – Armada Forum – Disappointingly missed out on promotion finishing third in League. Good effort from EVH and PAC but no support from other clubs in Forum. 3rd at meeting earlier in month despite poor showing from clubs. A Team Manager is still being sought – on the day at event would be good enough and training will be given. Registration for Composite Clubss and Southern Mens League and Young Athletes League now required. YAL being re-structured as travelling to meetings is a big issue. PAC have a meeting to discuss in early October. What is future of EA SW Region Competition Structure. Is role of EA to develop through County – Region? Is there a fear of track events? Add as Agenda Item for AGM.  

 

CC: Is there any interest from clubs in winter open meetings that could possibly include a mile/1500/3km events on the track?

SR: Trevor Thorne Memorial Race (see the minutes of meeting held on 14 January 2008). Thanks to all who attended – weather cleared away. Agreement  to stage for one year as TTMR then Plymstock RR to manage for Forum.

KR: Beacon Challenge & Fun Run 14/09

XC Relay event Sat 18 Oct at Flete Estate. Entry Forms available. Open to juniors and senior runners. Warm up event for forthcoming XC season.

Devon Schools XC to be held at Staddiscombe 12/01/09. Forum assistance sought.

 

JC: Santa Pud Run (14/12) Entry Forms available. To confirm DML RC now Plymouth Coasters.

 

AE: Deviock Bounder (12/10) Entry Forms available.

 

LC: Plymouth Schools Sportshall – 1st event 09/09 @ Stoke Damerell College.

 

PR:

Information on Clubs required for Armada Forum Flyer – Name of Club, Meeting Times/Venues, Club Contact details, Website. Action – PAC/BATS/Plymouth Muskateers. Any photos to enhance leaflet would be welcomed Action ALL

Tavistock Track – finances now available and work about to start.

Sportshall Equipment to order – inform LC when order placed Action PR

The Eller – (26/10) entry forms available

Devon County RR Meeting – Exeter Harriers Clubhouse – 1930 – 27/10.

PSF AGM – 16/09 – D Hatch offered to attend.

SW Region Inter Counties 10K Champs to be held 09/11 in Wiltshire. Nominations, Names of athletes to represent Devon welcomed by PR – Action ALL

Box of trophies donated to Forum by Maddie and Jay Horton – to be sorted.

Hoe 10 2009 – Date set for 15 February 2009. Concern on continued support of long standing helpers/organisers of event eg. M&J Elliott, C McGhee as they no longer attend Forum Meetings.

Next meeting is also AGM  - proposed that we look at possibility of putting on a buffet.
