MINUTES OF MEETING HELD ON 11TH OCTOBER 2004

MATTERS ARISING

 

Brickfields:  Awaiting a quotation for portable floodlights to enable track training to go ahead during the winter evenings.  Numbers to be submitted to Devonport Regeneration Company  to be looked at by them.  Currently the costing exercise is looking at floodlights and retexturing.  We will probably end up with lights that will only be suitable for training purposes.  Competition requires 200 luxe and training 100 luxe.  Sport England and UKA’s priority is retexturing the track.

 

Coaching:  M Erith questioned whether people want a coaching forum.  N Rowe said we need to try and reconvene another meeting so that coaches have another opportunity.  We also need to be aware of who those coaches are.  We need to come up with a coaching development plan. 

 

Composite Club:  Following tonight’s pre-meeting, K Reed commented.  An application has been put in for the Forum.  We are only allowed to put in 5 named clubs (Tavistock, Erme Valley Harriers, DML, East Cornwall Harriers and Plymstock) (could use second claim clubs for any other interested clubs).  Financial outgoing was £30.  Decided:

 

1.      it will be submitted to SW League on 21st November

2.      still need to come up with a name

3.      kit – in theory the Forum will purchase a kit which will be used by those members

4.      overall cost – need people to think how we might organise this and look at ways it could be shared by participating clubs, other clubs (probably less so) and the Forum.

 

We are not allowed to put the whole umbrella organisation in.

 

C Bunting asked what the annual cost would be – K Reed thinks it will be about £1,500.

 

Another meeting will be held prior to next week’s meeting.

 

South West Counties Road Running Development:  N Rowe advised that he and P Ross had attended a meeting on the 11th September 2004.  Poorly attended but at least we were able to put on the table a good deal of thought and discussion.  Everyone who attended went away with some sort of action or another.  We are writing a development plan.  Trying to look at every aspect on creating a valid pathway from just being a club member to county or regional representation and on to national or international.  Trying to look at what is required from the volunteer sector.

 

Sonia Ellis has done a fair amount of work on this and this information will be passed down through the county structure as they will have an input on that.

 

ANY OTHER BUSINESS

 

§           J Crockford raised the matter of track fees.  C Carpenter has booked the track for PAC for a year on Thursdays.  The Forum will book for two hours on a Saturday morning.  Considerable sum due to the Forum from PAC.  C Carpenter felt there were other athletes training during the week  who were failing to pay.  He feels a pre-determined pro rata agreement should be made.

 

J McGhee said there was no restriction on anyone using the track.  C Carpenter said if the Council see anyone using the track they will automatically bill the Forum which is unfair. 

 

It is aimed to discuss the annual bill with Plymouth City Council.   C Carpenter will look at the sum outstanding.

 

§           F Elford thanked everyone who competed and helped at the Autumn Trail.  In excess of £1,000 was raised.  Next year’s race will be held on 25th September and help may well be required.

 

§           A Aeroman reminded members that the Tavy 7 is on 14.11.04.

 

§           K Reed – officials’ course 24th October 2004, 10.00 am at Exeter clubhouse.  Exam at 2 pm for track and field people only.  Good support from Somerset, few from Dorset, few from Cornwall but very few from Devon.  Road officials as well as track and field.  Free of charge. 

 

§           Grand Prix Series – Keith required clarification on whether or not the Deviock Bounder was to be counted in place of the Cornish Marathon.  This race clashes with the Westward League.  M Erith confirmed it is to be included in the Series.

 

§           M Erith advised that Cornwall Coaching Forum is putting on beach training at Crantock, 10-12 on the 16th October 2004.  Also at Tregantle on 11th December, 10-12 - £2 charge.  Plymouth athletes welcome.

 

§           C Bunting attended a meeting with Cornwall Road Running group last month.  Suggested having Cornwall against Devon road running event.  This could perhaps be included within the Hoe 10.  P Ross felt this was a good idea and could even be extended to Dorset.  Other race that could be looked at could be Launceston Half.  P Ross will take to Devon meeting and then go back to Cornwall.  In principle it was felt to be a good thing.

 

P Ross reported as follows:

 

§           Hoe 10 – Just had kick-off meeting.  On the day entrants will be charged £10 and £11 - £4 extra, in an effort to deter late entries.  Prizes updated – now first three men and first three ladies teams.  Please encourage members to use SAEs.  Nearly got full committee but looking for a chief marshal for the race.  24 marshals needed.

§           Road running meeting – 25th October, 7-9 pm at Exeter.

§           Meeting of Road Running Group – it was disappointing that there was no-one there from Cornwall.  Next meeting 7th November 2004 at Exeter; it is important that Cornwall have a representative there. 

§           There is only one course measurer in Devon.  If anybody would like to consider giving this a go, please advise.

§           Volunteers in athletics and the development of them – lots of ideas; each club has got to have in its structure a volunteer co-ordinator.

 

§           N Rowe advised that B Phillips had requested financial assistance for Lance Chatfield becoming a level 3 coach.  N Rowe proposed that the Forum donate £100 towards this training.  All agreed.
