Present: N Rowe (Chair); P Ross/K Reed/R Bristow (EVH); M & J Elliott/ F Jenkins/T Pill/F Harvey/G French (IS); J Crockford/I McLeod/ S Baker (DML); C & M Bunting/B Phillips/D & S Nance/P & K Wilsmore/J Vickery/P Barker (TT); S Rose (Plstk); M & A Erith/ R Crowle (ECH); R Warne (PH); G Sansom/C Carpenter/S Endacott/ P Wearne (PAC); P Sargent (Nwqy RR)
N Rowe introduced P Sargent of Newquay Road Runners who has attended the meeting to advise members of his ideas for a mob match. A 5 mile race with the winning team determined by the aggregate score of their first 12 runners home. However, runners after the first 12 will be helping the team by keeping other teams’ runners further down the field. A representative match between Devon and Cornwall is also being considered. He considered the event could easily attract 500 runners and consequently there needs to be a venue that could host the event and have sufficient social facilities for the prize giving.
Pete advised that Cornwall’s event is held in mid-November and recommended a date in October for the new event.
Apparently Pete Furley said he has been thinking about such an event and Devon clubs further up the County want to be kept informed.
P Ross asked which area Pete suggested for the event. He was thinking of possibly Launceston. He has spoken to Launceston Road Runners who think they could find a flat 5 mile course.
P Ross asked what was the feeling from the clubs here. In principle it was thought to be a good idea but it was felt the biggest obstacle was finding a suitable date.
Hoe 10: Entry forms are complete and are now available - thanks to Colin. There will be a 7.00 pm meeting for volunteers prior to the next meeting.
SEAA Registration: No conclusion.
Windsor House was agreed as a venue and dates have been agreed for next year.
Brickfields: Contractors have been called back to rectify the situation. Therefore, part of it will be looked at, scrutinised and full track certification given.
Sports Hall Athletics: 13th November 2002, 4.30 – 6.30 pm. Please support the event as assistance is required. 8 teams of 6 boys and 6 girls – years 4-5. Where there is interest in secondary schools we will use their feeder schools to have heats leading to a final. N Rowe and K Reed are co-ordinating the event.
N Rowe welcomed the attendance of PAC because it is very important that they attend to give the Forum a united front to encourage youngsters to the sport. The development plan is in place to promote athletics and bring on the youngsters. We want PAC here as part of it every month.
G Sampson took issue with comments made in previous minutes and reiterated that PAC do indeed want to be involved in this.
P Ross said N Rowe has been key in getting the upgrade at Brickfields for the 8 lane track and full facilities by 2005. We have got the City Council’s backing. Whilst Exeter is pushing, they do not have their Council’s support. With respect to youngsters, we were integrated with Tavistock and Erme Valley.
N Rowe said the game plan is forming a sub-committee of this Forum to work towards this.
K Reed advised that from April 2003 composite clubs will be allowed.
R Musgrave recognised that their club would need to do their bit to drive this as it is a real concern.
N Rowe invited anyone who was interested in forming a composite club to meet at 7.00 pm on 4 November, prior to the general meeting.
Autumn Trail: F Elford thanked everyone for their help on the day. 604 completed the course, 661 entered. Hopefully £750 will have been raised. He asked that club members be advised that the event is for charity and if the number of categories is increased it will be to the detriment of the charity.
Training at Lipson Community College: Wednesday nights, 6-7.

He was advised that, due to new permit regulations for insurance the shower/changing facilities, risk assessment etc had to be taken into account. Any venues with the right facilities can be looked at in the future.
