MINUTES OF MEETING HELD ON 8 JANUARY 2007

The minutes of the previous meeting were agreed as being a true record.

 

MATTERS ARISING

 

Brickfields:

CC: ISP has to be a profit making organisation and it is probable that costs will go up to make the running of the track viable.  I can foresee that we will be priced out of the market. Need to seek a pricing structure to ensure it is affordable. No response to date from the Board meeting on proposals for hire – letter to be sent. Action NR 

Should seek a guarantee of support from PCC.

 

As a group we need to put something back.  NR is happy to approach the Council on a more formal footing.  Things to be looked at:

 

§           reduction of length of football pitch in the centre to create a run up to throws area

§           long jump facilities

§           area needs fencing off

§           relocate home straight

§           endeavour to provide eight lane track

 

A formal response has been made by NR to PCC not aware of any response to date. Needs hastening.  

 

No info received to date on Albions development of East Stand start date.

 

No info received on planned upgrade on athletics stand to ensure it meets H&S requirements – still currently “Out of Bounds”.

 

Discussion was held on whether the group felt that Brickfields would be better utilised on a Wednesday, as in the past, than it is currently being supported on a Tuesday. Decision to be taken after the next open meeting and 3K event. 

 

KR:  A Devon League fixture is due to take place in April; it is unlikely we will be able to use the facilities at that time.  KR happy to write to PCC about this.  NR will also write. Awaiting replies.

 

Steve Endacott; Has been back in hospital since Christmas for further surgery, we wish him a speedy recovery.

 

Plymouth Half Marathon:  3500 entries so far.

 

Hoe 10:  18.2.07.  480 plus entries to date.  PR meeting with Albion this held, support same as in past although he was questioned “what was in it for Albion”. Marshals required; names to A Erith asap.  St Johns Ambulance RA received, permission to use bottom car park agreed. Still awaiting replies from Sutton Harbour Co and PCC on Road Closures – both hastened. Medals ordered.  Bottled water still needs to be sorted. Forum will supply individual mementos for Devon v Cornwall Challenge. Prize structure to be sorted at next meeting and be dependant on Vets Categories.

 

England Athletics: Template that club secretaries will have to complete electronically to register athletes and guidelines still awaited. Date for John Templeton visit unknown. Concern on what insurance cover there is for clubs, members etc in the transition period between UKA/SEAA and EA.

 

3K Series:  3rd 3K meeting 13.2.07.  Last 3K turn out was even more disappointing.  Help needed. 13/3 meeting will have either a 5K or 2K in the programme

 

Clock issues now sorted and maintenance carried out.

 

 

ANY OTHER BUSINESS

 

SR:  PRR raised £7700 for Children in Need. Amendment – sum raised should read £1700

 

JC: 

§           £8886.85 in bank, £101.69 cash. Further £1500 received from Hoe 10 entries. 

 

§           Composite club – next year is it worth making a conscious effort to make one club.  When running in the area you could run for your “sub-club” and only put down East Cornwall and West Devon Athletics Forum when running out of the region.  M Erith considered this would be really helpful in national relays events.  Realistically this would not happen until April 2008.  NR suggested we put something together for people to take back to their clubs. – Still to action – NR.

       Please forward any issues and concerns that you and/or your club have asap.

 

ME SWXC  Championship were badly organised and it was felt that the event would have

       been a total disaster without the efforts of Keith/Jayne Reed and other local club

       members. Lack of marshals – course markings – leadership and control

 

PR:  Devon Race of the Year 2006 was Drogo 10.

 

 

       Venues for next year’s meetings now sorted – to be held at Windsor House.

       PR has pulled together info for flyer awaiting FJ feedback on whether Marjons can

       produce  flyer – need to target Hoe 10.

     Names of the successful candidates joining the Road Running Leadership Group not yet

     known. Gordon Robbins (Avon) has put his name forward and he would be a good rep for

     Counties and Clubs.  The group will look at different aspects, including where money is

     coming from and what it will be used for. 

 

      Application form produced for coaching requests; seeking commitment to doing some club    

      getting verification and then the Forum will reimburse 50%. 25% up front, 25% following

      training and involvement/development. Form circulated and will be discussed at next

      Coaches Forum Meeting.

 

GF: Sam Penny Scenic Challenge – Saturday evening 16th June at Staddiscombe.

       Officials – KR is willing to arrange training courses, please contact him.

     

AH: advised on Brooks Sunday Runs at Burrator 0900 start – all welcome and encouraging

      newcomers to join up with clubs.

      Update on current status of plans for new track at Tavistock – partnership between Tavy

      College/Kelly College/Tavy AC. Bids for funding have been written. Match funding a

      possibility. Design being drawn up. Tender – planning start in 2007.

      Fund raising at “Bedford Mile” hoping for 1000 people at £100 sponsorship.

 

ME: Endurance Training day at Holywell Bay, 28th January. Meet at Tamar Bridge at 1000.

       Looking at putting on Endurance Coaches and Marathon Training day on a Saturday

-         date to be decided (probably in March) at Brickfields. Idea was well received by

      attendees – for further discussion at Coaches meeting.

 

DD: Plymstock Schools XC – first round of three 28/01/07

 

RW: Plymouth Harriers event is now to be held on Sunday 22 July at Yelverton – 6

        Moor Miles – off road event.

 

JC: DML have a trip to the London Marathon – cost £89-00

       John also reported that he was going to Scotland to work long term from February.
