MINUTES OF MEETING HELD ON 9 JANUARY 2006

MATTERS ARISING

Track:  Outdoor changing block complete, however, problem with heating of water so not yet operational.  5/6 weeks behind schedule.  We will be made aware as soon as it has been passed over from contractor to Plymouth City Council.  Lights should have been adjusted last week.  Waiting to find out if this has been done.  Ongoing discussions about overall management of the facilities and systems to be put in place.  Membership scheme tendering process has started.  Ongoing board meetings now taking place. 

 

3K Series on the Track:  8.2.06 and 8.3.06.  It would be pleasing to see more juniors from the Plymouth area.  We have looked at the possibility of another event before the spring warm up to introduce track and field athletes to a new audience.  We need to make sure the track is used effectively.  PR – flagged up to South Devon AC.  Jumps could be used etc and make it a fun evening.  Perhaps we can look at an evening in March.  Perhaps we can do some “out of the ordinary” distances.  PR and KR will look at putting together a programme.

 

Plymouth Hoe 10:  350 entries so far.  Most things in place.  The bottom car park will be opened and should be filled first.  Marshals required – names to Amanda Erith via PR.

 

England Athletics Interim Chair Situation:  Assessment centres start on Wednesday of this week to look at potential candidates.  If the candidates do not come up to scratch they won’t be employed, despite their backgrounds.

 

Road Running Sub-Committee:  Meets again on 19.1.06 to discuss levies etc.  The County’s preparation of the levies will remain the same.  There is a proposal that some will come back into the region still.  Details of a road show are being finalised and will go to all counties.  There will be a full time regional manager and two co-ordinators under that.  The co-ordinators’ roles are not yet finalised.  

 

Use of Equipment:  Still with S Snooks, Plymouth City Council.  Arrangements are part of procedures for the new facility.

 

Finance:  Cash in hand £76.68 and £8,227.21 in the bank.

 

Sports Hall Event:  This Saturday in Paignton.

 

SEAA Cross County Championships at Bicton College:  28.1.06 – entries closed.  Any help on the day or lead-up to it would be appreciated.

 

 

Plymouth Half Marathon:   Entries now closed.  J McGhee asked why the race was so dear.  Sponsors have dropped out.  Community based event, non-commercial.  Massive increase from St Johns but we need to have that.  We think it is good value for money.  We are VAT registered and have to pay 17.5% on every entry.  The infrastructure to support the event is enormous.  Every line of expenditure has been looked at.  Once everything has been taken out we are left with 12p/entry.  £10-15k sponsorship needed but it is a struggle.  The charity donation includes money donated by runners on top of their entry fee and sponsorship money raised for that charity.

 

PT asked if an alternative route would be looked at.  Yes – the Council is very keen for this to happen.  Future redevelopment could cause problems.  Support of the Police also needs to be considered.

 

Coaches Forum:  Problem with them using this facility in the future so there will be a need for a new venue to be found.  Next meeting on the 20.1.06.

 

Burrator Run:  Thanks to those who attended.  Seems to be growing.

 

SEAA Levies:  Recommended to stall payment until March.

 

Devon Race of the Year:  Haytor Heller.

 

Correspondence:  Active Devon Sports Partnership (ADSP) meeting 23.1.06 at Exeter College and Country Club.  ADSP risk assessment 4.2.06 at Exeter.  PCC in conjunction with Sports Coach UK – series of courses coming up.  Coaching and the law – 24.4.06, 6.30-8.30/field based training – 3.5.07, 6.30-9.30 – Windsor House.  Full list on activedevon.org .

 

ANY OTHER BUSINESS

SP – Tuesday nights’ endurance training (7 pm start) – going very well.  All welcome.  Inter Counties Championships at Taunton Half – best times over the last 12 months.

 

PT – Jenny Kingdom is upset after yesterday’s race.  She is sorry for any problems she has caused – this was unintentional.

 

D Dane – Starting primary schools’ cross country events. 

 

PR – SW Track and Field League for this coming season – affiliation form needs to be in by the end of this month.  Affiliation fees £120.  All happy for this to go ahead.

 

G Reed acted as team manager last year but is now at university.  Will speak to A Herdman to see if he might be interested.

 

Coastal Half Marathon – being organised by a business.  They are not prepared to pay for a permit.  Please advise memberships accordingly.  Do not think Bath Half Marathon has a permit.  NR will be taking both these issues up with Sports England.

 

CC – trophy meeting late May bank holiday.  Hosting two events at Brickfields.  Devon County Championships and Devon League.

 

NR – National launch of all the new facilities probably some time in May.  We have the opportunity to be involved in putting an event on to promote athletics.
